Programs
A program is the top-level container for everything in Mentorship. Each program holds its own cohorts, application form, roster, matches, curriculum, agreements, and check-ins. Open Mentorship in the left rail to see every program in one grid, then click into a program to open its cockpit.
Mentorship is a separate opt-in module, not a CRM extension. It appears in your workspace once your account holds the module and the feature is turned on. On Starter, Mentorship isn't available at all; on Pro and Growth it's included, with usage-based overage as participants join your programs.
Once Mentorship is available, its landing page shows KPI cards (Active programs, Mentors, Mentees, Applications to review, Reports overdue) and a grid of every program.
Creating a program
On the Mentorship landing page, click New program. The dialog asks for three fields:
- Name: required. The create button stays disabled until you enter a name; submitting without one returns "Give the program a name."
- Type (optional): a free-text label such as
career, peer, oryouth. It shows on the program's Overview details. - Description (optional): shown to applicants on the public apply page.
Click Create program and Mentorship opens the new program's cockpit. A new program starts in Draft status with applications closed.
Cohorts and the roster
Enrollment runs through cohorts: time-bounded intakes within a program, each with its own dates and its own mentor and mentee caps. Add at least one cohort before you expect applicants, and see Cohorts for how capacity caps block enrollment.
Opening applications and sharing the apply link
On the Settings tab, the Applications card holds three controls and the share link. The Status dropdown sets the program status, Accepting applications toggles whether the public form is live, and Visible in portal catalog decides whether the program is listed for participants browsing your portal. All three save immediately when changed.
The public apply form accepts submissions only when Accepting applications is on and the status is Open or Active. In any other state (Draft, Paused, Completed, Archived, or the switch off), a visitor sees "This program isn't accepting applications right now."
The Visible in portal catalog switch is a separate, third gate. It starts off (private) for every new program and controls only whether the program shows up under "Open for applications" when a participant browses your portal. It does not affect the public apply link, which works the same whether the program is visible in the catalog or not.
When your workspace's public URL resolves, the Applications card shows a Public apply link with a copy button. Share that link with prospective mentors and mentees: the same apply page serves both roles, and applicants pick whether they're applying as a mentor or a mentee on it.
Program statuses
A program moves through six statuses, set from the Status dropdown:
- Draft: the starting status; the apply form is never live.
- Open and Active: the two statuses that allow the apply form to accept submissions (with the switch on). These also count toward the Active programs KPI on the landing page.
- Paused and Completed: the program stays in the list, but the apply form stops accepting submissions.
- Archived: set from the Danger zone, covered below.
Archiving a program
The Danger zone card on the Settings tab archives the program. Click Archive program, then confirm with Yes, archive. Archiving hides the program from the programs grid and stops new applications, then returns you to the Mentorship landing page.
An archived program is not deleted. Its Danger zone shows "This program is archived and hidden from the programs list," with a Restore to draft button that brings it back as a Draft. Archived programs no longer appear in the grid, so you reach that button through a link or bookmark you already have to the program, not by browsing the programs list.
