New hire onboarding
Approving a signed offer creates the new hire's employee record and assigns them to their team right away. Their onboarding checklist and their invite to your Mercleo workspace are deliberately held back until their start date, so their checklist doesn't sit half-open for weeks before they've actually joined.
What happens on the start date
On the new hire's start date, two things happen together: they're assigned their onboarding checklist, using the template matched to their team, or your org's default if their team doesn't have one, and they're invited to your Mercleo workspace by email. If the start date has already passed by the time you approve the offer, both happen immediately instead of waiting.
Track every hire in one place
The onboarding list shows every hire in flight, from a draft offer through a completed checklist, with a status such as Offer sent, awaiting signature; Signed, awaiting approval; Approved, onboarding pending; Onboarding, not started; Onboarding, partway through with a step count; or Onboarding complete. It's the fastest way to see who's stuck waiting on you versus who's stuck waiting on their own paperwork.
What the new hire sees
Their onboarding checklist shows every step as a numbered list, with optional steps clearly marked. Each step type has its own way to complete it: a plain task gets a mark-complete button, a question form collects their answers, an upload accepts a file and an acknowledgement asks them to confirm they've read a policy, with a link to the attached document when there is one.
This is the same experience whether they're finishing paperwork before day one or working through it in their first week, once their workspace invite arrives.
Where their record lives from here
Once created, the new hire's ongoing employee record, including their profile details, time off and place on your org chart, is managed in the People area of your workspace rather than in the HR module.
