Employee records

Click any employee in the directory to open their record. It's organized into tabs: Overview, Documents, Time off and Access, plus Onboarding, Contracts and Application when those apply.

The Overview tab

Overview is where most of a record's fields live:

  • Position history: title, team, start date and a reason (hired, promotion, transfer, title change or other). Adding a new position with no end date closes out the prior one automatically and updates the employee's current title.
  • Manager: who this person reports to. Changing it here does the same thing as reconnecting a reporting line on the org chart.
  • Team memberships: an employee can belong to more than one team. Each membership shows as a chip you can remove; add another from the same row.
  • Status: Active, On leave or Terminated.

Custom fields your workspace has added (see Profile fields) also appear on Overview, in the section they were assigned to.

Ending employment

From the record's menu, choose End employment. You'll set a last day and a reason (resigned, terminated for cause, laid off, retired, end of contract or other), plus an optional note. This closes the employee's current position and marks the record Terminated.

A terminated record can be reactivated from the same menu, which sets status back to Active.

Documents and access

The Documents tab holds files you upload for this employee (policies and other paperwork; signed offer contracts live on their own Contracts tab). Each upload has a kind and a toggle for whether the employee can see it themselves. PDF, Word, PNG and JPEG files up to 20MB are accepted.

The Access tab lists the email addresses this employee can sign in with. Add a workspace email here to send them an invite to their self-service portal. See Employee portal for what they'll see once they're in.

The Time off tab shows this employee's time-off balances and request history for reference. Requests are submitted by the employee from their own portal.
