Roster

The roster is a program's live membership list of mentors and mentees. People land here when you approve their application or add them directly, and you change each person's enrollment status from a per-row dropdown.

The roster is the membership list for one mentorship program: every mentor and mentee currently enrolled. You reach it from the program cockpit at /mentorship/programs/[id]?tab=roster. People appear on the roster two ways — you approve their application, or you add them directly with Add person — and you change each person's enrollment status from a dropdown on their row.

Who appears on the roster

The roster shows live enrollments only. A person is listed unless their status is withdrawn or removed — those two statuses drop the row from the list. Everyone with a pending, active, paused, or completed status stays visible. When no one qualifies, the card reads "No one on the roster yet."

Each row shows the person's name, a mentor or mentee role badge, the cohort name (or "No cohort"), and the enrolled date. People you added directly carry a small added tag; people who came in through an approved application do not.

Adding a person directly

Click Add person in the Roster card header to open the Add a mentor or mentee dialog. It has the following fields:

  • RoleMentee (the default) or Mentor.
  • CohortNo cohort (the default), or one of the program's cohorts.
  • Find a contact — search your existing contacts by name or email and pick one. If you can't find them, fall back to the add-by-email block below the picker and fill in First name, Last name, and Email. Adding by email creates a new contact in your workspace if one with that address does not already exist.

Click Add to roster to enroll. You must either pick a contact or enter an email — submitting with neither returns "Search for a contact or enter an email."

Changing enrollment status

The dropdown on each roster row sets that person's enrollment status. The available values are pending, active, paused, completed, withdrawn, and removed. The change applies as soon as you pick a value.

Setting a status of completed, withdrawn, or removed stamps the enrollment with an exit date. Moving someone to withdrawn or removed also takes their row off the roster, since the list shows live enrollments only.

Re-adding someone who left

Adding a person who already has an enrollment in the same cohort and role does not create a duplicate. If their prior enrollment was withdrawn or removed, re-adding reactivates it back to active and clears the exit date. If they are still live, the existing enrollment is returned unchanged. Enrolling into the same role without a cohort always creates a new row.

A contact can hold more than one enrollment in a program when the cohort or role differs — for example, the same person enrolled as a mentor in one cohort and a mentee in another. Roster membership is tracked per enrollment, independent of any match the person is part of.
