DealsInvoicing
Your Stripe, your money. The quote becomes the invoice, it goes out on your own account, and the deal shows where it stands without anybody asking.
Four steps, no re-entry. The numbers only exist once.
- The quote is the invoiceLines that already froze their price, discount and tax become the invoice’s lines. Nothing is re-entered, so nothing can be re-entered wrongly.
- It goes out on your StripePayment runs through your own Stripe account. Mercleo records the state against the deal; the money never routes through us.
- The deal shows where it standsDraft, sent, paid, void, or written off as uncollectible: all on the deal list, so nobody opens ten records to find the unpaid one.
- And a void isn’t the endVoiding an invoice leaves the deal free to be invoiced again cleanly, rather than stranding it or forcing a duplicate deal.
Where every deal stands. On the list, not in somebody’s head.
The invoice state is read from the invoice and shown on the deal, so finding what is unpaid is a filter rather than a round of phone calls.
- Five real states, on the list where you can see them
- Draft, sent, paid, void, and uncollectible: the one you gave up on
- Read from the invoice, not typed onto the deal
- So “who hasn’t paid” is a filter, not a phone call
A void isn’t a dead end. The deal can be invoiced again.
Terms change and mistakes happen. Voiding leaves the deal free to carry a second invoice, rather than stranding it or making you clone the whole record to start over.
- Invoices are issued on your own Stripe account
- Payouts land in your bank, on your schedule
- Mercleo records the state; it never holds the funds
- The deal keeps the link, so the history stays together
Three things it doesn’t do. Worth knowing before you plan around them.
No automatic chasing
There are no automatic payment reminders or escalation sequences. You can see what is unpaid: chasing it is still a person’s job, or a workflow you build.
No partial payments
An invoice is paid or it is not. Payment plans and instalments are not modelled on a deal invoice today.
No accounting sync
Nothing pushes to an accounting package. The API and the report builder are how the numbers get out; there is no bookkeeping integration to configure.
Gifts are a different thing. With different rules, and their own module.
Yours. Invoices are issued on your own Stripe account and payouts land in your bank. Mercleo records the state of the invoice against the deal; it is never a processor and never holds your funds.
Void it and invoice the deal again. The relation between a deal and its invoices is deliberately not one-to-one, so a void leaves the deal in a clean state rather than stranding it or forcing you to clone the deal.
It inherits them. The lines already froze their price, discount and resolved tax when they were added to the quote, and the invoice is built from those lines, so there is no second place for the numbers to disagree.
Not on its own. The status is visible on the deal list so unpaid work is easy to find, and a workflow can create a task or notify somebody, but nothing sends reminders on a schedule by itself.
Not on a deal invoice today. It is paid or it is not. If instalments are core to how you sell, that is worth raising before you plan around it.
